I've never planned a meet but wouldn't it be easier to pick a spot, date and time and who ever can makes does. I always make plans, day 1, MK, day 2 Epcot etc. But once I get there it hardly ever pans out. I hate to say my plans and have you work around it, and then things changed greatly.
